About the Organizer
This event is operated by the "IVS KYOTO Executive Committee" (hereinafter referred to as the "Organizer"), which is organized by Kyoto Prefecture, Kyoto City, and Headline Japan Co., Ltd.
Regarding Participation Applications
If there is any falsehood in the application details, unauthorized access to the site, unauthorized use of an email address, or if the Organizer determines that these Terms have been violated, the Organizer may invalidate the application to participate in this event.
The Organizer shall not compensate for any damages even if the applicant suffers damages due to the invalidation of the participation application.
The Organizer and the company entrusted with ticket sales operations shall bear no responsibility whatsoever for damages caused by communication service failures, unauthorized access by third parties, or other reasons not attributable to the Organizer.
Except in cases due to the Organizer’s circumstances, returns and cancellations are not permitted.
If the Organizer determines that any of the following reasons apply, it may, at its discretion, suspend a participant’s right to participate even after the purchase of a participation pass.
When the Organizer receives a report of harassment or other conduct that may threaten participant safety
When the Organizer reasonably determines that there is otherwise a risk of hindering the safe and smooth operation of the event
In such cases, the Organizer may choose not to disclose detailed reasons for its decision when there is a legitimate reason, including protection of the reporting party. If the right to participate is suspended, the Organizer will refund the full participation fee to the relevant participant. However, the Organizer shall bear no obligation to compensate for transportation expenses, accommodation expenses, or any other costs borne by the participant.
Changes and Cancellation of the Event
The Organizer may change the content of these Terms, the content of this event, speakers, schedule, etc. without prior notice. Notice of changes will be provided through the Organizer’s website, this event’s official website, or social media.
In the event of cancellation due to force majeure, participants will be notified by the same methods.
Copyright and Media Use
Copyrights to provided materials and presentation content belong to the Organizer or third parties authorized by the Organizer. Commercial use or reuse of session content and program content without permission is prohibited.
Audio recording, video recording, and photography by participants are permitted for personal use, but may be prohibited depending on the program. The event venue may be filmed for reporting purposes and used for news coverage, publicity, distribution, etc. Reporting without prior application and permission is prohibited.
Participants may respond to interviews and other media coverage, such as filming, by the Organizer or third parties authorized by the Organizer, but they will not be forced without their consent.
Participants grant, free of charge, permission for the Organizer or third parties authorized by the Organizer to use and publish photographs, videos, and articles related to this event concerning the participant in newspapers, magazines, books, television, radio, the internet, etc. (including use for advertising; hereinafter individually or collectively referred to as "Use, etc.").
Participants acknowledge that all or part of their likeness may be included in photographs or videos of this event, and consent to the Organizer or third parties authorized by the Organizer carrying out Use, etc. of such photographs or videos.
Interaction Between Participants and Use of Information
The Organizer will use participants’ personal information in accordance with its Personal Information Protection Policy (Privacy Policy).
To promote interaction among participants, the Organizer may share participants’ personal information (name, company name, department name, title) only when prior consent has been obtained. This handling will be carried out in accordance with this event’s Privacy Policy.
The Organizer will jointly use participants’ personal information with sponsoring companies in accordance with the provisions of this event’s Privacy Policy. Details of joint use (data items covered, scope of joint users, purpose of use, and person responsible for management) shall be as stipulated in the Privacy Policy. Participants may refuse (opt out of) joint use in accordance with the Privacy Policy.
In the case of proxy registration, it is deemed that the participant’s consent has been obtained.
Code of Conduct and Prohibited Acts
Participants shall respect each other’s dignity and comply with ethical conduct.
The following are prohibited: nuisance behavior toward the Organizer and participants; solicitation for specific religions; election activities; discriminatory statements or acts toward others; defamation of others; invasion of others’ privacy; statements and acts that violate laws or public order and morals; smoking outside designated smoking areas; non-cooperation with infectious disease control measures; excessive sales pitches or business solicitation; and any other acts that the Organizer deems inappropriate for participation.
If the Organizer reasonably determines that these Terms have been violated, participants may be removed from the venue. In such cases, participation fees will not be refunded.
Troubles Between Participants
If trouble or disputes arise between participants, they shall be resolved between the participants, and the Organizer shall bear no responsibility whatsoever.
Side Events
For events hosted by other organizers and held in conjunction with this event, the Organizer does not guarantee their content, quality, or participation. The Organizer also bears no responsibility whatsoever for troubles arising from them.
Disclaimer
With respect to injuries, illnesses, loss, theft, or any other accidents involving participants at this event, the Organizer shall bear no responsibility whatsoever, except in cases of intentional misconduct or gross negligence by the Organizer.
Cancellation and Suspension
The Organizer may cancel or suspend this event if natural disasters, changes in social conditions, or other reasons that make it difficult to hold the event arise.
Changes to Terms and Notice
If these Terms are changed, notice will be given by email and on this site.
Dispute Resolution
The resolution of disputes related to these Terms and this event shall be governed by Japanese law, and the Tokyo District Court shall be the court of exclusive agreed jurisdiction for the first instance.
