(Privacy Policy)
Headline Japan Inc. (hereinafter referred to as "the Company") recognizes the importance of protecting customers' personal information, complies with the Act on the Protection of Personal Information (hereinafter referred to as the "Personal Information Protection Act"), and strives for appropriate handling and protection in accordance with the following Privacy Policy (hereinafter referred to as "this Privacy Policy").
Definition of Personal Information
In this Privacy Policy, "personal information" means personal information as defined in Article 2, Paragraph 1 of the Personal Information Protection Act; namely, information relating to a living individual that can identify a specific individual by name, date of birth, or other descriptions contained in such information (including information that can be easily collated with other information and thereby identify a specific individual).
Collection of Personal Information
The Company collects personal information by lawful and fair means for purposes such as event registration, management and support, responding to inquiries, distributing newsletters and event information, using statistics to support event operations, improving and customizing services, ensuring safety and security at event venues, and fulfilling legal obligations. In the case of proxy registration, it is deemed that the participant's consent has been obtained.
Use of Personal Information
The Company will not handle personal information beyond the scope necessary to achieve the purpose of use without obtaining your consent. However, it may be used exceptionally in the following cases.
When required by laws and regulations
When necessary to protect a person's life, body, or property
When particularly necessary for improving public health or promoting the sound development of children
When it is necessary to cooperate with national or local public bodies in performing duties prescribed by laws and regulations
For the operational purpose of this event, information sharing to facilitate interaction among participants is conducted through services provided by a ticketing system company that has entered into a business outsourcing agreement with IVS. Participants use the service after agreeing to the privacy policy of the relevant ticketing system company at the time of ticket purchase.
User Rights
The Company recognizes that users have the right to access, correct, delete, and restrict processing of their own personal information. To exercise these rights, please contact us using the contact details listed in 9. "Inquiries".
Provision of Information to Third Parties (Joint Use)
At this event, personal data will be jointly used as follows for the purpose of promoting interaction between participants and sponsoring companies.

Planning and statistical analysis of industrial promotion measures by government authorities (including use in a form that does not identify individuals)

Joint use of event participation data
Session participation information and exhibitor booth visit information (log data) may also be jointly used for the above purposes. By default, only name and company name (department name/title) are included, and email addresses are not included. However, if a participant gives explicit consent, email addresses and other contact information will also be included.
Refusal of joint use (opt-out)
Participants may refuse joint use of personal data with sponsoring companies before or during the event period.
If you wish to opt out, please contact the secretariat (ivs-office@infinityventures.com) to that effect. After your request, we will stop joint use as promptly as possible.
If you apply for opt-out in advance, joint use with sponsoring companies will not be carried out during or after the event. However, regarding information already provided, responses will be handled by the sponsoring companies, so please check each company's privacy policy for details.
Security Management of Personal Information
The Company will implement appropriate security measures to prevent leakage, loss, and falsification of collected personal information. In addition, when outsourcing the handling of personal information to external parties, the Company will also obligate the contractors to conduct appropriate management.
International Handling of Personal Information
The Company complies with the EU General Data Protection Regulation (GDPR) and respects privacy rights applicable to users within the EU.
Changes to and Notice of the Privacy Policy
This Privacy Policy may be revised as necessary. The revised policy will be published on the event website, and such publication shall constitute notice to users.
