Headline Japan, Inc. (hereinafter referred to as "the Company") recognizes the importance of protecting the personal information of our customers, complies with the Act on the Protection of Personal Information (hereinafter referred to as the "Act"), and is committed to the proper handling and protection of personal information in accordance with the following privacy policy (hereinafter referred to as "this Privacy Policy").
Definition of Personal Information
In this Privacy Policy, personal information means personal information as defined by Article 2, Paragraph 1 of the Act, which refers to information about a living individual that can identify a specific individual by name, date of birth, or other descriptions contained in the information (including information that can be easily compared with other information, thereby identifying a specific individual).
Collection of Personal Information
The Company collects personal information by lawful and fair means for the purposes of event registration, management, and support, responding to inquiries, delivering newsletters and event information, using statistics for event operations support, improving and customizing services, ensuring safety and security at event venues, and fulfilling legal obligations. In the case of proxy registration, it will be assumed that the consent of the participant themselves has been obtained.
Use of Personal Information
The Company will not handle personal information beyond the scope necessary to achieve the purpose of use without obtaining the consent of the customer. However, there may be exceptions in the following cases:
Cases based on laws and regulations
Cases where it is necessary for the protection of human life, body, or property
Cases where it is particularly necessary for the improvement of public health or the promotion of healthy child development
Cases where it is necessary to cooperate with a state organ or a local government in executing affairs prescribed by laws and regulations
Information sharing for the purpose of promoting interaction among participants, which is the operational purpose of this event, is conducted through services provided by a ticket system company that has concluded a business consignment contract with IVS. Participants are requested to use the ticket system after agreeing to the privacy policy of the respective ticket system company at the time of ticket purchase.
Rights of the User
The Company recognizes that users have the right to access, correct, delete, and restrict processing regarding their personal information. To exercise these rights, please contact us at the contact address listed in 9. "Inquiries".
Provision of Information to Third Parties (Joint Use)
For the purpose of promoting interactions between participants and sponsoring companies at this event, personal data will be jointly used as follows.

Planning of industrial promotion policies and statistical analysis by administrative bodies (*including use in a form that does not identify individuals)

Session participation information and exhibition booth visit information (log data) may also be jointly used for the purposes mentioned above. By default, only names and company names (department names/titles) are subject to this, and email addresses are not included. However, if the participant explicitly consents, email addresses and other contact information will also be included.Refusal of Joint Use (Opt-Out)
Participants can refuse the joint use of personal data with sponsoring companies in advance or during the event period.
If you wish to opt out, please contact the secretariat (ivs-office@infinityventures.com) to that effect. We will stop joint use as quickly as possible after receiving the request.
If you apply for an opt-out in advance, joint use with sponsoring companies will not occur during or after the event. However, for information that has already been provided, responses will depend on the sponsoring companies' side, so please check each company's privacy policy for details.
Security Management of Personal Information
The Company will take appropriate safety measures to prevent leakage, loss, or falsification of collected personal information. In addition, when outsourcing the handling of personal information, we will mandate appropriate management to the subcontractor as well.
International Handling of Personal Information
The Company complies with the EU General Data Protection Regulation (GDPR) and respects the privacy rights applicable to users within the EU region.
Changes and Notifications to the Privacy Policy
This Privacy Policy will be revised as necessary. The revised policy will be posted on the event website, which shall serve as notification to users.
